  3. Complete any required password change and authenticator setup. Keep recovery codes somewhere private.

Choose the correct working branch

For: Manager · Reviewed 2026-11-03

Where: Back Office → Working branch

Before you start

You can select only branches assigned to your account.

  1. Save or cancel your current form and resolve pending submissions.
  2. Choose the branch in the Working branch selector above the workspace.
  3. Check the branch name again before creating products, receiving stock or making changes.
  4. If a recovered draft switches you back, finish or explicitly discard that draft first.

What to expect: The workspace shows records for the chosen branch.

Branch comparison reports intentionally compare accessible branches. A branch switch does not move stock.

Create a product or stock item

For: Manager · Reviewed 2026-11-03

Where: Products → Catalogue → + New product

Before you start

Choose the correct Working branch. Have the item identity, selling price, pack quantities and tax treatment ready.

  1. Choose + New product. Enter Product name and a unique SKU.
  2. Optionally set Category and the barcode for each sellable pack.
  3. Choose the Stock base unit: Each, Kilogram, Litre or Metre. It stays fixed after creation.
  4. Check Tax category, VAT rate and whether prices include VAT.
  5. In Sellable packs, set the pack code, name, base-unit quantity and selling price. A six-pack of Each goods has 6 base units.
  6. Check Product active and pack Active, then choose Save product. Correct any highlighted fields and save again.

What to expect: The product appears in the branch catalogue.

Creating a product does not add opening stock. Use Stock → Stocktake / opening for a counted baseline.

Create a product from the product library

For: Manager · Reviewed 2026-11-03

Where: Products → Catalogue → Add from library

Before you start

Choose the correct branch. Library suggestions do not replace your own price and identity checks.

  1. Choose Add from library and search for the item.
  2. Select the matching item to populate a new product draft.
  3. Check the exact product, SKU, barcode, base unit, packs and quantities.
  4. Enter or confirm your branch’s selling prices and correct tax treatment.
  5. Tick the confirmation that you checked the item details, then choose Save product.

What to expect: A separate branch product is created; the shared library is unchanged.

A library item is a starting point. Supplier reference prices are not an instruction to use that selling price.

Sell singles, six-packs and cases

For: Manager · Reviewed 2026-11-03

Where: Products → Catalogue → product editor

  1. Open the product or start a new one.
  2. Use + Add pack for another selling format.
  3. Give each pack its own code, name and optional unique barcode.
  4. Set base units, for example Single 1, Six-pack 6 and Case 12.
  5. Set each pack’s selling price and active status, then Save product.

What to expect: All pack sales consume the same product’s stock in base units.

Disable an unused pack instead of assuming its history disappears. Reserved barcodes must be changed or cleared before reuse.

Import products from Excel or CSV

For: Manager · Reviewed 2026-11-03

Where: Products → Import

Before you start

Import creates new products; it does not overwrite existing branch products.

  1. Download the blank template or prepare your own XLSX, CSV or TSV file.
  2. Keep SKU and barcode columns as text so leading zeros survive.
  3. Choose the file, worksheet and header row, then map the columns.
  4. Map Product name and Selling price. Map SKU or explicitly choose generated SKUs.
  5. Check pack mapping, base-unit quantities and VAT defaults; validate the preview.
  6. Review every preview page and correct all errors before confirming the import.
  7. If the result is uncertain, recover or retry the same preview ID instead of importing again.

What to expect: The full valid batch is created once, or no products are added if validation fails.

Opening stock, purchase costs, bundle recipes and container links are not imported. Do not clear browser recovery data while submission is uncertain.

  1. Choose + New product and tick This product is a bundle / hamper.
  2. Enter the bundle’s own name, SKU, barcode and selling price.
  3. Add each component and its base-unit quantity per one bundle.
  4. Check that the recipe represents the physical items you hand to the customer.
  5. Review the bundle packs and save the product.
  6. Sync all active tills before using the feature, then verify an agreed test basket.

What to expect: Selling the bundle consumes its saved component quantities.

Receive and count components individually. Bundles have no independent stock balance. Nested bundles, preassembled bundles and mixed-VAT recipes are not supported.

  3. Check the explicit deposit and return VAT rates for your business.
  4. Link each ordinary bottled product to its container type and containers per base unit.
  5. Save container settings and let tills download them.
  6. Set payout permissions separately in Business Settings.

What to expect: Checkout can distinguish merchandise, deposits and accepted empties.

A goods return does not automatically refund an empty bottle. Container values and tax treatment need the retailer’s own accounting confirmation.

  2. Enter the number of whole packs and add the line to the voucher. Repeat for the delivery.
  3. Check supplier details, optional purchase costs, the supplier/GRV reference and receiving note.
  4. Choose Review complete voucher and review every line and quantity.
  5. Choose Post goods received voucher once.
  6. If submission is uncertain, use the saved voucher’s retry/status controls.

  4. Count physical base units and enter every quantity, including explicit zeros.
  5. Review Recorded, Counted and Difference across every page.
  6. Post the count once, then resume movements when posting is confirmed.

What to expect: A permanent correction brings the recorded baseline to the counted quantity.

This workflow does not lock tills automatically. Offline transactions arriving later can change balances. Blank is not zero.

  3. Enter the quantity in stock base units, a clear reason and optional reference.
  4. Review the signed movement and confirm once.

  4. Enter quantities in matching stock base units and add the transfer items.
  5. Confirm the sending tills have synced and review the complete shipment.
  6. Choose Confirm dispatch only when the goods leave.

Understand a negative balance or stock history

For: Manager · Reviewed 2026-11-03

Before you start

Recorded stock reflects uploaded movements, not a live physical count.

  1. Confirm the Working branch and sync every till.
  2. Review receipts, adjustments, sales, restocked returns and transfers.
  3. Use report date and product/category filters; compare opening and closing balances.
  4. Check pack multipliers and whether returns were restocked or discarded.
  5. If a physical baseline is required, carry out a controlled stocktake.

What to expect: You can explain the recorded balance from its movements.

Negative stock can result from sales recorded before opening stock. Do not assume the difference is theft or erase records.

  4. Recheck its saved items and prices before completing checkout.

What to expect: Confirmed subscription service is allocated without changing retailer data.

Do not enter card details, a PayFast passphrase or merchant secrets into ordinary Back Office notes. A browser success page alone is not payment confirmation.

Equipment

Can I connect my speedpoint or card terminal?

For: Owner / installer · Reviewed 2026-11-03

Where: Equipment review with TillBridge

Before you start

Integrated card payment is not enabled merely by saving device settings.

  1. Record the provider/bank, exact device model and connection type.
  2. Ask the provider whether that model supports POS integration and which approved SDK/protocol is required.
  3. Let TillBridge assess drivers, operating-system support, credentials handling and provider approval.
  4. Commission approved/declined/cancelled/unknown outcomes and reconciliation on the actual equipment.
  5. Use only the payment methods enabled and accepted for your retailer.

What to expect: There is a verified plan for the particular device and provider.

Cash/card split tenders and card refunds need dedicated implementation and acceptance. Do not record a cash sale to disguise a card transaction.

Troubleshooting

Protect till data and recover safely

For: Owner / installer · Reviewed 2026-11-03

Where: Managed backup and recovery process

Before you start

Backups contain private credentials and must remain protected.

  1. Arrange a backup while the till is idle and uploads/shift status are understood.
  2. Use the supported owner-account backup helper and keep its verified result.
  3. Keep recovery material separately from the backup archive where required.
  4. Have the installer verify a restore in isolation before any replacement cutover.
  5. Retain the original installation until the replacement is accepted and the old copy is retired.

What to expect: Data and device identity can be recovered without two active copies.

Never restore over a live database, copy one till database to a second trading desktop, or send a private backup through ordinary chat.
